Executive Assistant to CEO

San Jose Water is recruiting for a Temporary Executive Assistant to the President and Chief Executive Officer in the Corporate Group.  Under the general direction of the President and Chief Executive Officer, the Temporary Executive Assistant to the CEO provides varied, highly responsible and often confidential administrative support to the CEO and top management as necessary; coordinates and participates in office support; performs other work as directed. This assignment will be approximately 3 to 4 months in duration.

Principal Duties & Responsibilities

Provides executive support and performs complex administrative secretarial, clerical and administrative duties in support of the CEO, COO, and other members of top management; works as a team with the Executive Assistant, Paralegal and Office Clerks to provide administrative support at the headquarter of the Company; recommends improvements in work flow, procedures, and use of equipment to improve effectiveness and efficiency; assists in connection with the filing of Forms ID, 3, 4 and 5 with the Securities and Exchange Commission; assists in connection with Board of Director and shareholder, committee and executive meetings and other Company events; processes expense and reimbursement reports for the Board members and top management and reconciles monthly credit card statements; assists in connection with the Board and Committee self-assessment process; assists with the implementation and maintenance of Company-wide records retention system; receives and screens visitors and telephone calls; types drafts and a wide variety of finished documents which may include legal terminology or confidential materials from notes, brief instructions, prior drafts, and dictating equipment; prepares various confidential documents, including documents pertaining to Human Resources and succession planning; initiates specified correspondence independently for signature by the appropriate executive; reviews finished materials for completeness, accuracy, format, and correct spelling and English usage; organizes and maintains various administrative and corporate files; maintains an appointment calendar; schedules and arranges meetings; assists in connection with investor presentations, meetings and earnings calls; promotes Company-wide participation in community service projects; allocates and keeps record of employee participation in community sporting events; assists with office maintenance issues; schedules and makes travel arrangements and arranges logistic matters for top management and the Board.

Required Knowledge, Skills & Abilities

Excellent secretarial skills; knowledge of standard office administration, office equipment, record keeping, minute taking and preparation, report preparation, and filing methods.  Excellent knowledge of English usage, spelling, grammar, and punctuation and mathematical principles.  Ability to use initiative and independent judgment within established guidelines; use tact, discretion, and prudence in establishing and maintaining effective working relationships with government officials, and representatives of business and community organizations; type accurately at a rate of 65 words per minute from printed copy; utilize a personal computer and current applications of word processing, spreadsheet and related software programs.  Excellent written and oral communication skills.

Education and Experience

Completion of the twelfth grade or its equivalent, supplemented by specialized training in administrative or secretarial work or a related field and four years of increasingly responsible secretarial or office administration experience.  Business training and experience in dealing with representatives of government, business, or community organizations is desirable.

Other Requirements

Must possess a valid California Class C driver's license and have a satisfactory driving record.
